Health Care Aide Renewal: Frequently Asked Questions

Who Needs to Complete the Registration Process?

All current Health Care Aides (HCAs) on the General, Provisional, and Transitional registers must complete the registration process by November 30, 2026. This is required to continue practicing as an HCA in Alberta.

I Completed the Process Earlier This Year. Do I Still Need to Renew?

Yes. HCAs paid for their first permit between February and April of 2026. HCAs will now complete a renewal between September and November every year. Renewals allow the CLHA to continue monitoring the profession.

When Can I Complete the Registration Process?

The Registration Renewal form is available for HCAs starting September 8. It will be available until November 30, 2026.

Anyone who has not completed the process by then will have their permit suspended and will not be allowed to practice as an HCA until they are reinstated.

What Is the Cost?

The cost to renew is $250. In addition, HCAs will be required to obtain professional liability insurance for approximately $50.

All regulated healthcare professionals in Alberta pay for yearly registration renewal. These fees cover costs related to regulation. Registration fees are set based on the cost of regulating a profession, with consideration given to the level of responsibility that professionals have within the healthcare team.

The renewal fee is anticipated to remain the same for the foreseeable future.

How Can I Pay for My Permit?

You can pay online after your renewal form is submitted and approved. You can pay with:

  • Credit card: Visa, Mastercard, American Express, etc.
  • Visa debit or Mastercard debit

If you do not have access to any of these payment methods, please email finance@clha.com to make alternate arrangements.

Please note that you will not be able to pay and receive your new permit until you meet all requirements for registration.

I Am Also Registered as an LPN. What Do I Do?

If you are registered as both an LPN and an HCA with the CLHA, you will need to complete two renewals. We ask that you complete your LPN renewal first, and then your HCA renewal.

Your LPN insurance will also cover HCA practice. You need to complete separate insurance applications for both your LPN and HCA registration. When completing your HCA application, you will be identified as a dual registrant, and your HCA premium will be $0.

How Do I Reset My Password?

To access your account, go to MyCLHA.com. Your username (email address) will be the same as it was the last time you logged in. You can reset your password by clicking “Forgot My Password” and filling in your email address and the code provided. An email will be sent with instructions.

Please note that CLHA staff do not have access to your password.

I Should Have Received a Login Email from You, But I Didn’t. What Do I Do?

If you didn’t receive your password reset or two-step verification email, check your junk or spam folder, and wait a few minutes to see if it comes through. Sometimes the emails can take a while to show up in your inbox.

If you are using your work email, you can contact your supervisor or IT department to see if something can be done to help you receive emails from hcarenewal@clha.com and noreply@clha.com.

I Want to Change Some of My Personal Details. How Can I Do That?

As regulated professionals, HCAs are required to maintain up-to-date information with the CLHA. If you changed your name, moved to a new address, or had other relevant changes in the previous year, you are required to let us know.

HCAs can update their contact, personal, and employer information through the renewal form. Once you pay for your renewal, you will not be able to update this information again until December 1, so make sure everything is correct before you submit your renewal.

I Got Insurance Last Time. Do I Still Need Insurance?

Yes. Professional liability insurance is required for all HCAs to complete their registration renewal every time. This insurance must be in your name and apply specifically to HCA practice. In order to renew, you will need to provide an updated certificate proving your insurance to the CLHA.

Insurance that meets all CLHA requirements can be obtained through a link in the registration form. The cost is approximately $50.

HCAs can also obtain insurance from a provider of their choosing and upload the certificate to their renewal form. This insurance must meet all of our requirements. If you choose this option, your insurance will be reviewed before you can pay for your permit.

I Have Insurance Through My Employer. Do I Still Need to Get Professional Liability Insurance?

Yes. Employer insurance does not meet CLHA requirements. The insurance must be in your name and be specific to HCA practice.

Professional liability insurance will cover costs you may have if you are ever named in a complaint. In some cases, employer insurance will not cover all costs. Your insurance also needs to follow you if you change employers.

Please note that other forms of insurance, including health insurance and spousal benefits, do not count towards the insurance requirement.

Why Does the CLHA Ask About Employment?

It is important for HCAs to provide employer information so that the CLHA knows where HCAs are working. This also supports workforce planning.

What Are Practice Hours? How Do I Calculate Them?

The CLHA asks you to provide an estimate of how many hours you worked as an HCA for each employer for the year. These are your practice hours.

Pay stubs from your employer may also help you determine what your practice hours for the year were. You can take the number of hours you work for an employer in one week and multiply that by 52. If you don’t work the same number of hours every week, just take the average.

I Changed My Employer. How Do I Reflect This on the Renewal Form?

If you recently changed your employer, complete the following steps.

  1. Answer “No” to the question, “Are you still working for this employer?”
  2. Fill in an end date.
  3. If you have a different employer, click the blue “Add” button at the bottom of this section.
    1. Search for your facility in the box that appears. In most cases, your facility should come up.
    2. If your facility doesn’t come up, write the name in the “Facility name” box
    3. Add the contact information in the box at the very bottom of the section.

What Should I Select for Areas of Practice?

Try to select the options that best describe what you do. For example, if you work in long term care, you might select “General practice.” Under “Other areas of practice,” you might select “Geriatrics,” “Addiction service,” or “Chronic pain,” depending on the types of clients you work with and the kind of tasks you perform.

What Are Declarations? Why Are They Important?

As part of the College of LPNs and HCAs of Alberta (CLHA) registration renewal process, HCAs will need to answer specific questions, called “declarations.”

It is important to read these questions carefully and answer them honestly. As regulated professionals, HCAs are accountable for their behaviour. Answering dishonestly could be grounds for a complaint of unprofessional conduct.

Why Can’t I Pay and Complete My Renewal?

If you reach the end of the registration form and you cannot pay or obtain your new permit, that means that there is something on your form that needs to be reviewed.

The most common reason is that you uploaded alternative professional liability insurance, which needs to be reviewed, but there are a few other reasons why this might happen. The CLHA will email you to explain what you need to do to complete the process.

How Long Does It Take to Review My Renewal Form?

If we need to review your application, we will do so within the timelines established in the Registration Service Standards policy.

You will receive an email from us when the review is complete. This email will either request more information from you, or it will let you know that the invoice for your permit is ready to be paid.

Please note that we review applications on business days only. Our timelines do not include weekends. So, for example, if you submit your renewal on a Friday, the CLHA will respond by the following Friday.

How Do I View Feedback on My Renewal Form?

If you receive an email stating that the CLHA has left feedback on your renewal form, you will need to log in to MyCLHA.com to view the comments.

  1. Once you log in, you will see “Complete Form” on your profile page. You can click the “Update” button to reopen your application.
  2. The comment will appear at the top of your form once you have reopened the application.

I Received an Email Saying I Could Pay My Invoice. How Do I Do This?

If you receive an email stating that an invoice is available to be paid, you will need to log in to MyCLHA.com to pay.

  1. Once you log in, there will be a notice that you have an outstanding invoice.
  2. If you do not see this notice, click “My Invoices” on the lefthand menu.
  3. Once you open your renewal invoice, you will be able to fill in your payment information.

How Do I Access My HCA Permit?

You can access your permit at any time by logging into your MyCLHA account and clicking “Download registration” on the menu on the left side of the screen.

If you successfully completed renewal, you will have two registrations on your account until December 1. One will show an expiry of November 30, 2026, and the other will show an expiry of November 30, 2027. Please note that anyone can verify that you completed renewal on our Public Register.

I No Longer Want to Practice as an HCA. How Do I Cancel My Registration?

You can cancel your registration with the CLHA through your MyCLHA account. After logging in, click the button under the “Change My Registration” heading. Complete and submit the form that pops up. Your registration will be cancelled as of November 30, and you will no longer be authorized to practice as an Alberta HCA.

If you do not complete your renewal by November 30, your registration will be automatically suspended. If you do not complete reinstatement by December 30, your registration will be automatically cancelled. You can allow your registration to be automatically cancelled if you prefer, but you may receive emails from the CLHA up until December 30.

How Do I Contact the CLHA?

The CLHA receives a very high volume of phone calls and emails during renewal. We recommend reviewing our resources before contacting us to see if we’ve answered your question there. This will help you get answers to general questions in a timely manner.
